Scheduled Reports Overview
Scheduled Reports is a new feature that allows organizations to set up a recurring report of traffic on their networks to be sent to one or more email addresses specified. The recurrence can be set to Monthly, Bi-Weekly, or Weekly, with day-of-the-week options available for all but monthly recurrences. The report options include Threat summaries as well as Content Categories and encompass the last 30 days of traffic regardless of the recurrence schedule.
Configuring Scheduled Reports
Single Organization Configuration
A single org configuring the report will follow these steps:
- Configure recipients
- All dashboard users is an option that can be checked
- An email input box allows the user to enter up to 20 unique emails, which can be sent in addition to the dashboard users
- Configure Frequency and Report Options
- Users can choose from Monthly, Bi-Weekly, and Weekly reports, with day-of-the-week options for Bi-Weekly and Weekly.
- Users can choose to include Threats and/or Categories in their report. Categories can be limited to the top 5, 10, or 15 visited.
- Preview, finalize, and save the configuration.
MSP Org Configuration
An MSP org configuring the report will follow these steps:
- Configure recipients
- All dashboard users is an option that can be checked
- A dropdown allows users to select which suborgs will be included in the traffic report. Any suborgs selected will have an email input box built out.
- An email input box allows the user to enter up to 20 unique emails, which can be sent in addition to the dashboard users.
- Configure Frequency and Report Options
- Users can choose from Monthly, Bi-Weekly, and Weekly reports, with day-of-the-week options for Bi-Weekly and Weekly.
- Users can choose to include Threats and/or Categories in their report. Categories can be limited to the top 5, 10, or 15 visited.
- Preview, finalize, and save the configuration.
Usage Notes
Maximum Recipients Amount: For a single report, an org can add up to 20 emails to the email list. In addition to these 20 emails, the org can also opt to send the report to all dashboard users, which doesn’t have a limit. The final maximum amount of emails that can receive a scheduled report is [number of dashboard users] + 20.
Report Recipients (Sub-organizations): If a Sub-organization has dashboard users that are unique from the MSP dashboard users, those sub-organization dashboard users will NOT get the scheduled report email if only the “send to all dashboard users” checkbox is selected. In order for sub-organization dashboard users to get the scheduled report, they must be manually added to the email recipient input while the scheduled report is being configured.
Report Scheduling: When a report is scheduled, it will be sent on the next valid day that matches the report configuration.
Examples:
- Monthly reports are always sent on the 1st of the month. If a monthly report is set up on the 15th, the first report will be sent on the 1st of the following month.
- If the monthly report is configured on the 1st day of the month (May 1st), the first report will be sent out on the first day of the following month (June 1st).
- Bi-weekly reports are sent on the day of the week that matches the report date following configuration. If a Bi-Weekly report is set up on Tuesday to be run every other Thursday, the first report will be sent on the Thursday the week was configured (2 days after being configured).
- Weekly reports are sent on the day of the week that matches the report date following configuration. If a Weekly report is set up on Tuesday to be sent every Monday, the first report will be sent the following Monday.
